Title: Administrative Coordinator 

Reports To: Director of Business Administration 

Status: Part-time, Non-exempt, $15 hourly 

Overview: 

Tulip Time is a nonprofit organization dedicated to welcoming the world to our community by celebrating tulips, Dutch heritage, and Holland today. The Administrative Coordinator provides vital day-to-day support for the Tulip Time team by managing office operations, assisting with administrative tasks, and ensuring smooth internal workflows. This position helps keep the organization organized, responsive, and ready to deliver a memorable festival experience for attendees, volunteers, and partners. 

Hours: 

Part-time, approximately 10-15 hours/week; additional hours may be required in the lead-up to and during the annual festival (including occasional evenings and weekends in spring, fall, and winter). 

General Responsibilities: 

  • Provide administrative support for daily office operations, including answering phones, responding to emails, and greeting visitors. 
  • Maintain digital and paper filing systems and ensure accurate record-keeping. 
  • Assist with data entry and database updates. 
  • Help manage supply inventories, order office and event supplies, and track deliveries. 
  • Assist with volunteer and participant communications, mailings, and other outreach efforts. 
  • Support the preparation of materials for staff, board, sponsors, and community partners. 
  • Assist with festival merchandise order fulfillment and customer service. 
  • Help with day-of-event administrative tasks during festival operations. 
  • Represent Tulip Time in a professional and welcoming manner in all interactions. 


Position Requirements: 


  • Strong organizational and time-management skills with the ability to handle multiple priorities. 
  • Excellent verbal and written communication skills. 
  • High attention to detail and accuracy. 
  • Ability to work independently and collaboratively in a team setting. 
  • Friendly and professional demeanor when working with staff, volunteers, and the public. 
  • Proficiency in Microsoft Office, Google Workspace, and familiarity with databases or CRM tools. 
  • Willingness to assist during festival events, including occasional outdoor work. 

Education/Experience: 

  • Associate degree in office administration, nonprofit management, or related field preferred but not required. 
  • Previous experience in administrative support, office management, or customer service. 
  • Experience in events, nonprofits, or volunteer-driven organizations is a plus. 

Physical Demands: 

  • Must be able to lift up to 25 pounds and assist with basic event or office setup tasks. 
  • Willingness to work in various weather conditions during the outdoor festival.
